Finding your way

After you have signed in you always land on your My Tasks dashboard. More on this dashboard below.

The top bar is the main navigation element in ftrack.

  1. The projects menu is opened by clicking Projects. From here you reach projects you are currently assigned to tasks on, other active projects and also project tools and hidden projects if you are a project manager.

  2. Different time reports can be reached in the Reports menu (only visible if you have project manager permissions).

  3. The My Tasks dashboard is your home dashboard where everything related to you is displayed (more on this dashboard below).

  4. Your bookmarked pages are listed in the Bookmarks menu. A page can be bookmarked by clicking the heart shaped icon to the right of this menu item (note that some pages cannot be bookmarked).

  5. The time tracking tools are opened by clicking the clock icon.

  6. The Jobs dialog.

  7. To jump between objects or search for other users you can bring up the search dialog by clicking the magnifying glass icon or by pressing Q on the keyboard.

  8. This icon opens your unified inbox and it will light up whenever you have new notifications.

  9. Your account settings as well as system settings (if you’re an administrator) can be found by clicking your thumbnail picture.

My Tasks

The My Tasks dashboard contains widgets that are all focused on the logged in user.

The left column is all about the user’s tasks with a summary of current tasks’ statuses at the top (1) and a task board that enables a quick and easy way to change status of tasks by drag and drop (2).

The column to the right contains a widget at the top with a summary of logged time (3). The widget below is a tabbed widget, the first tab (4) lists upcoming important dates while the second shows the activity feed (5) for everything related to the logged in user and his/her tasks.

To avoid losing context when working in spreadsheets and widgets, links to objects such as tasks, shots, sequences etc. opens in the sidebar that slides in from the right. The sidebar gathers all information and details about a specific object including its notes, related assets, files and more and it is also possible to change many of its properites from here.

Project pages

When on any of the project pages in ftrack you always have the main project navigation tree to the left (1). From the tree you can reach the entire project hierarchy but also lists and asset builds on the current project. Options on each item in the tree can be found in the right click menu or by clicking the small arrow to the right on each row when moving the mouse over it.

To the right above the spreadsheet or dashboard is the dashboard menu (2). With this menu you navigate between project pages like the main spreadsheet, the versions page, your own dashboards etc. (3) in the figure is the spreadsheet or dashboard currently open.

Task spreadsheet

You will find the tasks spreadsheet in the dashboard menu in the top right just below the top bar when you are on a project page (see the figure below).

The page consists of two toolbars and a spreadsheet described in detail below (see the figure below).

  1. The Create button displays a menu of options that are possible to create in the spreadsheet.

  2. By clicking the Import button you will open the import wizard that enables you to import data into the spreadsheet.

  3. Here are buttons for common actions like save, undo, redo and remove. By clicking the small arrow to the right of the save icon and selecting Save changes automatically you can enable the auto save feature. When enabled all changes made to the spreadsheet will be automatically saved.

  4. These are layout buttons that changes how the data is displayed in the spreadsheet. In addition to the classical hierarchic view, you can select to only show shots/asset builds or only tasks. Note that what’s displayed depends on the current level selected in the tree to the left.

  5. This button toggles the schedule pane that contains the Gantt planning tool.

  6. This is the Views button. Here you can change to another view you’ve saved or a view shared in the studio.

  7. In addition to the layout buttons, the data in the spreadsheet can be grouped by the options in this menu.

  8. This is the Lists button. When you’ve selected item(s) in the grid, you can add, remove or move that item(s) between lists.

  9. To export the data in the spreadsheet, select a format in this menu.

  10. This is the spreadsheet refresh button. By clicking this you can manually refresh the spreadsheet.

  11. This is the spreadsheet settings button. Here you’ll find options like row height and overlays and also which attributes to include as columns in the spreadsheet.

  12. By typing into this textfield you can quickly filter the spreadsheet. To get more filter options, click the Filters icon. You can find more information in the Filtering article.

  13. This is the header of the spreadsheet. Here you see which attributes that are included in this spreadsheet including some spreadsheet stats (if you’ve added any). Spreadsheet functions can be added by clicking the small arrow to the right in the column header when moving your mouse over it.

  14. This is the main tasks spreadsheet.

Versions view

You will find the Versions page in the dashboard menu in the top right just below the top bar when you are on a project page.

The Versions page consists of two toolbars and a view that shows all versions at the current level. The toolbars and the view are described in detail below.

  1. These are the layout buttons. With these buttons you can change the view between spreadsheet and thumb layout.

  2. This is the Lists button. When you’ve selected at least one item, you can add, remove or move the item(s) between lists.

  3. This is the Views button. Here you can change to another view you’ve saved or a view shared in the studio.

  4. This is the view refresh button. By clicking this you can manually refresh the view.

  5. This is the view settings button. Here you’ll find options like how to sort the versions and which attributes to include in the view. Note that the export option only is available when the view is in spreadsheet layout.

  6. By typing into this textfield you can quickly filter the spreadsheet. To get more filter options, click the Filters icon. You can find more information in the Filtering article.

  7. This is the Versions spreadsheet.

  8. This is the view toolbar. Changes to the settings here updates the view instantly.
